This role focuses on providing analytical and specialized administrative support to relieve local leadership from complex details and advanced administrative duties. It also provides the opportunity to network and coordinate activities across numerous departments, working closely with key leaders at all organizational levels. The position may support workplace services activities as a deputy for the receptionist in case of absence. /p h3Roles And Responsibilities /h3 ul liOversees critical expenses such as consulting agreements, purchase orders, invoices, and expense reports /li liSupports onboarding of Administrative Coordinator and Administrative Assistant positions /li liCoordinates and arranges country events, hires external vendors as needed,
and maintains a calendar of events for the site and country /li liArranges departmental meetings for sales and the site, including All Hands meetings and events /li liManages extensive executive travel arrangements for VP level roles, including airfare, lodging, transportation, passports/visas, itineraries, and additional travel needs /li liReviews travel approvals and exceptions on behalf of executives /li liManages executive calendar, scheduling and accepting all meetings and maintaining the calendar /li liPrepares items for executive meetings, including creating presentations, gathering materials, preparing agendas, coordinating with Facilities and IT for room set up, and taking meeting notes /li liMay attend additional functional and leadership meetings as needed to assist with meeting agenda and meeting notes /li liManages executive call routing and messages /li liRegisters executives for conferences and events, including gathering and preparing materials /li liSupports executive administrative needs in budget planning process /li liMay schedule candidate interviews and candidate travel as needed in coordination with the HR department /li liObtains signatures on documents for executives /li liRepresents department in meetings with administrative personnel /li liGreets external guests and escorts guests to executive meetings in coordination with the reception and workplace services team /li liOrders office supplies and equipment for department as needed /li liSupports department in shipping and mail distribution /li liParticipates in special projects that include additional research and preparing presentations /li liLeads and organizes departmental projects and other complex assignments /li liProvides coverage for reception during absences and vacation /li /ul h3Qualifications /h3 ul liHigh school diploma, secondary education, vocational training or equivalent required /li liMinimum of 4–6 years of related experience in an international company required /li liAdvanced written and verbal communication skills in English and Spanish /li liAdvanced networking and influencing skills among key stakeholders /li liStrong executive presence /li liAbility to incorporate cultural values into existing processes /li liAdvanced sense of confidentiality and discretion /li liProven effectiveness interacting across organization levels /li liHigh autonomy and discretion /li liProficiency with MS tools and Zoom /li /ul h3Additional Information /h3 pIntuitive is an Equal Employment Opportunity Employer.
