MSF INTERNATIONAL /h3 pMédecins Sans Frontières (MSF) is an international, independent, medical humanitarian organisation that delivers emergency aid to people affected by armed conflict, epidemics, healthcare exclusion and natural disasters. MSF offers assistance to people based only on need and irrespective of origins, religion, gender or political affiliation. /p pMSF International is the legal entity that binds MSF’s 24 sections, 28 associations and other offices together. Registered in Switzerland, MSF International provides coordination, information and support to the MSF Movement, as well as implements international projects and initiatives as requested. /p h3II. POSITION BACKGROUND /h3 pProcurement of products and services is a critical activity for MSF operations and represents approximately half of MSF’s expenses. Therefore, MSF has undertaken significant efforts in recent years to strengthen and re-organize its procurement function, which have led to the creation of the Integral Procurement Unit (GPU). The primary aim of the GPU is to streamline procurement activities and increase compliance, efficiency, and risk management. /p pSituated within MSF International Office, the role of the Global Procurement Unit is to lead global procurement strategies, to coordinate procurement efforts in the organization and to support the development of the procurement function across all MSF entities to efficiently contribute to MSF's social mission. /p pAs part of the Global Procurement Unit, the E-Procurement System Officer will: /p ul liReport hierarchically to the Procurement System Project Manager /li liReport functionally to Global Procurement Processes Systems Manager /li liWorks closely with: /li liGPU teams and MSF entities /li liSoftware publisher support teams /li liCollaborates with users and other stakeholders /li /ul h3III. PURPOSE OF THE JOB /h3 pThe objective of this role is to support the effective rollout, adoption, and stabilization of MePP (MSF e-Procurement Portal) by focusing on data migration, user support,



training, documentation, and system quality. The role is strongly data- and operations-oriented, contributing to a smooth user experience and continuous improvement of the tool. /p h3IV. MAIN RESPONSIBILITIES /h3 ul liRoll-out and Implementation Support /li liSupport the roll-out of the e-procurement tool to new entities and user groups /li liAssist in the preparation and execution of go-live and hypercare activities. /li liFollow defined rollout steps and help improve the roll-out kit and templates based on lessons learned. /li liSupport coordination with internal stakeholders and the software provider team. /li /ul h32. Data Migration and Data Quality /h3 ul liSupport the collection, cleaning, and migration of data (users, suppliers, contracts, basic system data). /li liPerform data checks to ensure completeness, consistency, and accuracy. /li liBuild tools and processes to assess and improve data quality /li liMonitor data quality after go-live and flag issues or inconsistencies. /li liSupport corrections and improvements together with the project team and software provider. /li /ul h33. User Support /h3 ul liAct as first-level support for users during the hypercare phase. /li liAnswer user questions, troubleshoot basic issues, and log bugs or incidents. /li liFollow up on reported issues and coordinate with the software provider for resolution. /li liTrack recurring issues and help identify practical improvement. /li /ul h34. Training, Documentation and Continuous Improvement /h3 ul liSupport user onboarding, trainings, and system demos. /li liMaintain and simplify user documentation and guides (including translations). /li liSupport testing, bug fixes, and ongoing system improvements. /li liMaintain the functional configuration guide. /li /ul h3V. REQUIREMENTS /h3 h3Practical / technical knowledge /h3 ul liBachelor’s degree in business, procurement, supply chain, IT, or a related field, or equivalent professional experience.



/li liAround 2–3 years of experience in an operational or support role within a complex organisation. /li liExperience supporting or participating in a system rollout, system support, or data migration (ERP, SRM, e-procurement, or similar tools). /li liUnderstanding of procurement or supply chain processes. /li liExperience working with an external service provider is a strong asset. /li liPrevious experience in MSF or another NGO is an advantage. /li /ul h3Planning and organising /h3 ul liAbility to organise daily tasks and work in a project environment. /li liComfortable working with checklists, action trackers, and templates. /li liAble to manage several tasks at the same time and respect deadlines. /li liCareful and structured when working with data and system configurations. /li /ul h3Communicating and influencing /h3 ul liExcellent communication skills and assertiveness. /li liAbility to work in a cross-cultural and cross-functional environment. /li liService-oriented mindset and willingness to support users. /li liWilling to ask questions and elevate issues when needed. /li /ul h3Practical requirements /h3 ul liStrong working knowledge of Excel for data management and analysis; basic PowerPoint skills are an asset. /li liFluent spoken and written English.
