Job Summary:
We are looking for a proactive and detail-oriented Administrative Manager to oversee the daily administrative operations of our Barcelona office. The idóneo candidate must be fluent in Chinese, Spanish, and English, and have a strong understanding of local administrative practices and compliance requirements. This role will support business operations, office management, and act as a key liaison between our headquarters and local teams.
Key Responsibilities:
- Office Administration: Manage general office operations including office supplies, equipment, vendor relationships, and facility maintenance.
- Administrative Support: Assist the General Manager and department heads with scheduling, meeting preparation, documentation, and translation.
- HR & Payroll Coordination: Support recruitment processes, onboarding, local payroll coordination, and employee file management in line with Spanish labor laws.
- Legal & Compliance: Handle company registration updates, liaise with legal advisors, and ensure local administrative and regulatory compliance.
- Accounting Liaison: Work with finance teams to support invoicing, expense reports, petty cash management, and coordination with external accounting providers.
- Multilingual Communication:
Serve as a communication bridge between the China-based HQ and Spanish local operations, translating documents and facilitating bilingual meetings.
- Travel & Logistics: Organize local and international travel arrangements, business trips, visa processing, and accommodations for visiting staff.
- Document Control: Maintain accurate records of contracts, business licenses, and confidential documents.
Requirements:
- Bachelor’s degree or above in Business Administration, Management, or related fields.
- Fluent in Chinese (Mandarin), Spanish, and English (both written and spoken).
- 3–5 years of experience in administrative or office management roles, ideally in a multinational or Chinese company.
- Strong knowledge of Spanish administrative procedures, labor laws, and office compliance.
- Excellent organizational skills, problem-solving ability, and attention to detail.
- High level of discretion and professionalism when handling sensitive information.
- Proficient in Microsoft Office Suite and common business tools.
Preferred Qualifications:
- Experience in the automotive, tech, or import/export industries.
- Familiarity with Chinese business culture and cross-border coordination.
- Knowledge of HR and accounting software tools
