Provide operational and administrative support to the Academic Planning & Faculty Experience function, supporting the Associate Directors in the delivery of academic planning processes, facultycoordinationand academic administration. The role contributes to the efficient execution of academic operations throughaccurateadministration,timelycoordinationand high-quality service.

We are looking for a person to join a full-time position in Madrid - IE Tower.

Responsibilities

Your role as a Associate Director will involve:

1.



Operational Support

- Provide day-to-day administrative and operational support to the Associate Directors.
- Assistin coordinating academic planning activities andmonitoringoperational tasks.
- Prepare andmaintaindocumentationrequiredto support academic operations.

2. Faculty Requests and Communications

- Manage the faculty mailbox, ensuring requests are accuratelycategorised,assignedand followed through to completion.
- Coordinate responses with the relevant teams andmonitorresolution times.
- Support faculty with routine operational enquiries.

3. Academic Documentation

- Coordinate the collection, review and tracking of syllabi and other academic documentation.
- Monitor submission deadlines and follow up on outstanding items.
- Ensure documentation is complete and correctly recorded in institutional systems.

4. Administrative Process Management

- Process faculty requests and operational incidentsin accordance withestablished procedures.
- Maintainaccuraterecords andmonitorongoing cases.
- Escalate issues whereappropriate toensuretimelyresolution.

5. Academic Data Maintenance

- Update academic structures and planning information in institutional systems.
- Verify the accuracy and consistency of operational data.
- Support the preparation of reports and planning information.

Qualifications

To thrive in this role, you should possess the following qualifications:

- Bachelor's degree desirable.
- Fluent in English and Spanish.
- Experience in administrative or operational support roles.
- Strongorganisationalskills and attention to detail.
- Ability to manage multiple priorities effectively.
- Excellent communication and customer service skills.
- Proficiencyin Microsoft Office and institutional information systems. xqbhyrx
