We are looking for an experienced Executive Assistant to a Senior Executive to join a strategic business in the digital infrastructure and energy sectors, currently in a key stage of growth and development within one of the world’s leading infrastructure groups.
Based in Madrid, the role will provide direct, high-level support to a Senior Executive in a highly demanding, international and fast-paced environment.
The idóneo candidate will be a highly organized, proactive, resilient and discreet professional, with excellent communication skills, a strong service mindset, and the flexibility required to support a Senior Executive with demanding schedules, frequent international travel and constantly changing priorities.
Responsibilities
- Manage, coordinate, prioritize and continuously adjust the Senior Executive’s complex calendar and daily agenda, ensuring effective time management, anticipating conflicts and aligning meetings and commitments with business priorities.
- Coordinate a high volume of internal and external meetings across multiple countries and time zones, proactively managing schedule changes and last-minute requests.
- Organize and manage extensive international travel arrangements, including itineraries, accommodation, transportation, visas, expenses, and frequent modifications due to business needs.
- Organize executive-level meetings, conference calls, and business events, ensuring all logistics and materials are prepared in advance.
- Act as a key liaison between the Senior Executive and internal and external stakeholders, maintaining effective communication and handling highly confidential information with discretion.
- Prepare presentations, reports, meeting materials, correspondence, and other executive documentation.
- Anticipate business needs,
proactively resolving issues and ensuring the smooth running of the Senior Executive’s activities and commitments.
- Support strategic projects and facilitate coordination between the Senior Executive and the leadership team.
- Collaborate closely with other Executive Assistants and administrative teams to ensure seamless support across the organization.
Requirements
- Proven experience as an Executive Assistant to a Senior Executive, President, Managing Director, or other senior leadership position, with a minimum of 5 years of experience in similar roles.
- Exceptional organizational, planning, coordination, and prioritization skills.
- Demonstrated experience managing complex calendars with frequent changes, multiple stakeholders, and international travel arrangements.
- Experience working in an international and multicultural environment.
- Exceptional attention to detail and ability to work under pressure while managing multiple priorities simultaneously.
- High level of discretion and ability to handle confidential information.
- Advanced proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Word) and collaboration tools.
- Fluent English (written and spoken) is essential.
- High level of flexibility, commitment, and availability, including occasional support outside regular office hours due to international operations, travel schedules, and changing business priorities.
- Strong problem-solving skills, resilience, and a proactive mindset.
- Residence in Madrid is required.
