At VIVLA, we are redefining premium second-home ownership through a model that blends real estate, hospitality, and technology.

We are building the leading network of high-end vacation homes in Southern Europe and are expanding Vivla Studio (our Architecture & Operations team). We are looking for two Interior Design & Project Coordinator to join us and report directly to our Design Architect.

Your mission is to bridge creative design with seamless execution, helping transform exceptional properties into fully operational, design-led homes ready to welcome owners from day one. From design documentation and procurement to logistics, on-site styling and final quality checks, you will play a key role in delivering every VIVLA home across Southern Europe's most sought-after destinations (Ibiza, Baqueira, Sotogrande and Menorca) to the highest standards.

This is a fast-paced, hands-on role. Beyond producing technical documentation, you will coordinate procurement, manage inventories and logistics, and support the on-site setup, styling and final preparation of each home before handover, ensuring every property meets VIVLA's premium hospitality standards.

KEY RESPONSIBILITIES

1. Conceptual Design & Documentation
- Design Support: Work alongside the Design Architect to co-create and deploy VIVLA’s design guidelines and style guides.
- Technical Dossiers: Elaborate comprehensive FF&E; documentation, specification sheets, mood boards, AutoCAD layouts, and technical dossiers.

- Procurement & Inventory Control

- Purchases Management: End-to-end management of inventory purchases, placing orders,



tracking deliveries, and managing logistics for all FF&E; and OS&E; items to ensure everything arrives on-site on schedule.
- Catalog Standardization: Maintain and standardize pre-approved furniture catalogs and material specs.
- Budget Precision: Track purchases and logistics using Google Sheets/Excel to ensure 100% adherence to allocated project CAPEX.
- Supplier Coordination: Coordinate order timelines with top-tier brand partners and local suppliers to avoid project delays.

- Property Activation & Logistics

- Field Execution: Travel to destination properties during setup phases to oversee or physically unpack, assemble, position, and detail every home.
- Contractor Alignment: Work closely with project managers and local assembly teams to ensure the physical execution strictly matches original specifications.

- Quality Assurance & Zero-Defect Handover

- Standard Guardian: Conduct rigorous pre-handover inspections to verify aesthetic alignment, durability, and operational readiness.
- Zero-Defect Policy: Enforce a strict "Zero-Defect" policy, making sure 100% of functional and design details are signed off before homeowners step through the door.

- Project Timelines: 100% on-time execution of interior setups and handovers.
- CAPEX Control: Zero financial deviations across assigned property budgets.
- Product Quality: Flawless "Zero-Defect" sign-offs prior to property activation.
- Operational Rigor: Fast, structured tracking of inventory and logistics workflows.
