Customer Service Representative – Export & Intercompany

We are currently looking for a Customer Service Representative – Export & Intercompany to join our European Customer Service team.

Your Role

As part of the Customer Service team and reporting to the Customer Service Manager Europe, you will play a key role in ensuring excellent customer support while managing export operations and intercompany order flows across our international network. You will work closely with Sales, Supply Chain, Logistics, Operations, and Finance teams to ensure a seamless customer experience from order entry to delivery.

Key Responsibilities

- Manage customer inquiries via phone and email, providing timely and professional support.
- Process and monitor customer orders using ERP systems.
- Follow up proactively on order status, deliveries, and potential delays.
- Handle customer claims, returns, and service incidents.
- Coordinate deliveries and transportation with customers and logistics partners.
- Manage export orders, shipment tracking, and international documentation.




- Prepare and validate export documents such as Bills of Lading, Air Waybills, Customs Declarations, and Certificates of Origin.
- Coordinate intercompany orders between subsidiaries, manufacturing sites, and distribution centers.
- Liaise with customs agents, freight forwarders, and internal stakeholders to ensure smooth shipment execution.
- Monitor delivery timelines and communicate risks, constraints, or alternative solutions when required.
- Maintain accurate customer and order data and support continuous process improvements.
- Generate reports related to order status, shipping performance, and operational indicators.

What We Are Looking For

✅ 1–3 years of experience in Customer Service, Order Management, Logistics, or Export Operations. ✅ Strong customer-oriented mindset and excellent communication skills.

✅ Good knowledge of international trade documentation and export processes.

✅ Ability to manage multiple priorities in a fast-paced environment.

✅ Strong attention to detail, organizational skills, and problem-solving capabilities.

✅ Proactive attitude and team-player mentality.

Qualifications & Skills

- Fluent English (mandatory).
- French is a plus.
- Experience with ERP systems (Microsoft Dynamics 365 is an advantage).
- Good command of Microsoft Office, particularly Excel.
- Knowledge of international shipping and logistics processes.
