Role Overview We are seeking a highly organized, proactive, and service-oriented professional to support the Western Europe Committee Chairman while also contributing to the smooth coordination of team activities and logistics across the region.
This role combines high-level executive assistance, strategic coordination, and operational/logistical support, requiring strong multitasking abilities, sound judgment, and the ability to operate effectively in a fast-paced, international environment.
Key Responsibilities Executive & Strategic Support to the Western Europe Chairman
Provide high-level administrative and strategic support to the Western Europe Committee Chairman
Manage complex calendars, scheduling meetings, appointments, and extensive travel arrangements
Manage budgets, expenses, and administrative processes (e.g., invoices, approvals) for the Western Europe Committee Chairman
Prepare and review presentations, reports, and briefing materials for executive meetings and decision-making
Support the development and tracking of strategic plans, roadmaps, and key regional priorities
Conduct relevant research and analysis (market, stakeholder, internal) to support planning and decision-making
Stakeholder & Communication Management
Act as the main point of contact between the Chairman and internal/external stakeholders (clients, partners, etc.)
Manage communications including emails, calls, and correspondence with a high level of professionalism
Support internal communication initiatives
Committee & Team Coordination
Coordinate Western Europe Committee scheduling meetings and logistics
Coordinate events, workshops,
and regional meetings, ensuring seamless organization
Facilitate communication and alignment across multiple countries and teams
Support the Executive Committee of the European Platform based in Barcelona with scheduling meetings, agenda preparation and action follow-up
Additional Responsibilities
Handle confidential and sensitive information with the highest level of discretion
Support daily operations and contribute to ad hoc projects and cross‑functional initiatives
Identify opportunities to improve processes and enhance team efficiency
Profile & Qualifications Experience
Minimum 7+ years of experience as an Executive Assistant, Project Coordinator, or in a similar role
Proven experience supporting senior executives or leadership teams in an international environment
Strong background in logistics, event coordination, and stakeholder management
Soft Skills
Excellent organizational and multitasking abilities
Strong communication and interpersonal skills
High level of discretion, professionalism, and attention to detail
Ability to balance strategic support with hands‑on execution
Proactive, solution‑oriented mindset with the ability to anticipate needs

Reliable, flexible, and able to work under pressure
Strong work ethic and sense of ownership
Languages
Fluent French (mandatory)
Spanish (nice to have)
Technical Skills Strong proficiency in
Microsoft Office Suite , including:
Outlook (calendar and email management)
Teams (communication and collaboration)
PowerPoint and Excel (reporting and presentations)
