We are looking for a highly organized and proactive Team Assistant to support the Network Management Leadership Team within the Grid Technologies Switchgear Network Optimization (SG NM NOZ) organization. This role plays a key part in ensuring the efficient operation of the Network Management function by providing administrative, organizational, and coordination support to the leadership team. The successful candidate will act as a central point of contact for internal and external stakeholders, supporting calendar management, travel coordination, meeting organization, communication activities, reporting, and special projects.
This position reports to the Head of Network Optimization.
Responsibilities
Provide administrative and organizational support to the Network Operations Leadership Team.
Coordinate and manage calendars, meetings, workshops, and leadership events across multiple time zones.
Organize travel arrangements, visa requests, expense reporting, and related documentation.
Support the preparation of management reports, presentations, and performance review materials.
Track action items and support follow‑up leadership decisions and strategic initiatives.
Coordinate onboarding activities and administrative support for new team members.
Maintain and organize team documentation, SharePoint sites, distribution lists,
and communication channels while supporting budget tracking, purchase requests, and supplier coordination activities.
Assist with special projects, event planning, and continuous improvement initiatives by preparing agendas, presentations, meeting minutes, action trackers, and coordinating leadership meetings, town halls, workshops, and network‑wide communication activities.
Qualifications
Degree or vocational qualification in Business Administration, Office Management, Executive Assistance, Communications, or a related field.
Over 5 years of experience in an administrative assistant, executive assistant, team assistant, or coordinator role.
Experience supporting senior managers or leadership teams in an international environment.
Advanced Microsoft Office skills, particularly in Outlook, PowerPoint, Excel, Word, and Teams.
Excellent communication, organizational, and multitasking skills; fluency in English is essential.
