Project Coordination

- Support the company’s operations in achieving improved department performance in accordance with schedule and budget targets.
- Review and implement client deliverable requirements, including document list issuance and template preparation.
- Ensure all project team members are aware of contractual deadlines and milestones for documentation and budget execution.
- Remind and expedite documentation as needed.
- Organize the administrative startup of new projects using internal tools.
- Communicate daily with internal departments to address project‑related issues.
- Expedite updates/revisions of engineering documentation and timely send to clients and suppliers.
- Ensure final preparation, sending, and tracking of technical documents to the client per contractual agreements.
- Track client comments on sent technical documents.
- Assist project managers and technical leaders with RFQ and PO activities.
- Prepare, send and track purchase orders (and applicable documents) to suppliers.




- At project final stage create the operating and maintenance manual, coordinating with suppliers, retrieving and combining supplier documentation, and, when needed, translating documents.
- Organise project‑related travel, coordinating with travel agency for flight, hotel, and visa arrangements.

Project Reporting

- Participate in project review meetings.

Project Tools

- Use and suggest improvements to company tools: Prime (engineering schedule), Consilio (project technical figures), Vault (documentation).

Required Profile

- HND or equivalent in engineering or administration.
- 2–3 years experience in administration, preferably in a project department.
- Proficient in Microsoft Office, especially Excel.
- Strong organisational skills and ability to prioritise.
- Attention to detail.
- Willingness to learn and work within new software environments.
