Within an international environment, the Administrative & Project Control Assistant will be responsible to offer support and assistance to various departmental activities.


Administrative support activities include:

Assist new staff/consultants with local check in processes

Software/Application support activities including Time sheet management

Basic supplier management

Getting quotes

Tabulating various procurement information together

Managing renewals (software and consultants)

Follow-up and validation of requests

Support on procurement activities related to consultants:

Shortlisting and scheduling interviews

Preparing recommendations

Follow-up on approvals

Facilitate hiring of resources (e.g. renewal/extension of consultants) and coordination of these activities

Reporting/Controls-related activities include:

Preparing monthly reporting of project status updates

Preparing weekly list of new projects in the pipeline

Following up on time recording:

Sending weekly reminders

Following up where time recording/sheeting is missing

Perform other related duties as required

What we are looking for :

Prior experience in performing similar administrative roles for a large department

Proficiency in MS Office, with good knowledge of Excel and PowerPoint

Must have a good understanding of other Microsoft tools like Outlook, SharePoint and Teams

Must be technologically savvy, demonstrating the ability to easily adapt to new and unfamiliar

technologies, software, and systems

English advanced level. Spanish and Italian is a plus
